Privacy - Collecting Personal Information

This privacy statement explains in general terms that in the course of its operations, Bayside Council collects personal information, as defined by the Privacy and Personal Information Protection Act 1998 (PPIPA). It also describes how personal information collected will be used by Council.

Council receives personal information through transactions such as the payment of rates, fees and charges, and the receipt of other communications such as submissions, applications, requests and complaints, registrations, petitions, correspondence and the like. Some of the information collected is required by legislation, other information is voluntary.

Communications (including the associated personal information) received are stored electronically in Council's records management system and other databases. The personal information is used by authorised Council Officers (and sometimes authorised agents of Council) in processing communications received; and to respond to and maintain future contact with the person submitting the communication. Personal information is generally not provided to third parties except as provided by legislation. However, submissions (including the associated personal information) as part of a community engagement process are considered to be in the public arena and may be accessible by the public under the Government Information (Public Access) Act 2009 - mobile telephone numbers and electronic addresses are generally withheld.

The supply of personal information in communications is often voluntary. However if you cannot, or do not wish to provide the information sought, the Council may not be able to process the communication.

You may make a request that Council suppress your personal information from a public register. Council will consider any such application in accordance with the PPIPA.

You may also request that Council provides you with access to the personal information held about you for the purpose of correcting or updating the information, unless there is an exemption under the Act.
